MITRE’s Air and Space Forces Center Cyber Division (N140) is well positioned to help the Department of the Air Force, including both the US Air Force and the US Space Force, resiliently operate in and from the cyber domain to support national security operations. N140 aims to leverage capabilities from across MITRE and the whole of industry to perform cyber operations, protect the cyber networks relied on by the DAF, and ensure that weapon systems and platforms are resilient to cyber attack.

Roles & Responsibilities:

The Cyber Division Office (N140) is seeking a Lead Administrative Assistant to join our team at the McLean Campus. The position is an integral part of the team. The successful candidate will be responsible for a wide range of administrative and executive support tasks and should be able to work independently with minimal supervision. The position encompasses a wide range of responsibilities, requiring a flexible approach and strong

interpersonal skills.

The successful candidate’s job responsibilities will include, but not be limited to:

  • Providing efficient administrative support to the N140 Managing Director (MD) through the planning, execution and follow-up for daily MD requirements, and ensure effective coverage when out of the office. Specific duties may include:

  • Organize and schedule appointments and meetings.

  • Maintain contact lists.

  • Produce and distribute products and regularly scheduled reports.

  • Develop and maintain a division data/filing system.

  • Prepare/book travel arrangements.

  • Submit and reconcile expense reports.

  • Provide support to visitors.

  • Handle sensitive information in a confidential manner.

  • Assist the Division MD in streamlined communications and messaging across the division by developing and coordinating agendas, securing conference room and SCIF reservations/access, arranging catering and supporting the efficient presentation of material.

  • Coordinate with Division team members in support of the leadership.

  • Coordinate hiring activities – including arranging interviews in coordination with HR for departments

  • Provide purchasing support– ordering hardware, software, books, etc. for MITRE Team Members

  • Draft routine correspondence in accordance with MITRE standards including letters, memos, PowerPoint Charts, and HR Forms.

  • Maintain a high level of communication with management and team members at the various MITRE locations that make up the division

  • Work with MITRE Technical Staff to prepare formal MITRE deliverables

Basic Qualifications:

  • High School Diploma and 4-6 years of related experience in office administrative support, or Associate’s Degree with 3 years of related experience in office administrative support, or 2 years’ experience with a Bachelor’s degree, or equivalent combination of education and related work experience.

  • Ability to obtain a security clearance (SECRET or above)

  • Proficiency with Microsoft tools including Outlook calendar, MS Word, PowerPoint, Excel, Teams, and SharePoint

  • Attention to detail; Provide strong editing skills

  • Display a high level of tact, professionalism, and diplomacy in working closely, often under time constraints, with highly confidential information, with a diverse group of teams.

  • Be a proactive self-starter with strong problem-solving, interpersonal, written, and verbal communication skills, and the ability to work both independently and as a part of a team.

  • Ability to multi-task

  • Demonstrate proactive initiative and timely follow-through on a broad range of administrative duties

  • Self-motivated, willing to learn new technologies

  • This position requires a minimum of 4 days a week on-site.

Preferred Qualifications:

  • Hold an active DoD Secret Clearance

  • Possess intermediate to advanced technical writing skills

  • Experience with SharePoint administration

  • Prior experience with Concur Travel Software
